- How to Contact Us
1. Introduction
This Privacy Policy explains how The Cardfather LLC collects, uses, stores, and shares personal information when you visit our website, contact our shop, buy or sell trading cards, submit cards for grading, join a case break, or attend one of our events. The policy is maintained by CardFather, the developer and operator responsible for this website and its information practices.
The Cardfather LLC is a trading card dealer located at 679 E 400 N, Spanish Fork - 84660-1603, United States (US). We are a small, service oriented business, and our information practices are shaped by that scale. We collect what we need to answer a question, complete a transaction, protect a shipment, or keep a record that the law or good accounting requires. We do not build profiles for advertising networks, we do not sell personal information, and we do not run hidden trackers on our pages.
This policy describes the work in detail because a collector should be able to understand exactly what happens to a name, an email address, a phone number, or an address after it reaches the trade bench. If any part of this policy is unclear, please contact us using the details at the end of this page and we will answer in plain language.
2. Scope of This Policy
This policy applies to personal information handled through the website at www.cardfather.mom, through email and telephone contact with the shop, through in person visits to the counter, through the grading submission service, and through event registration and case break participation. It does not apply to third party websites, grading company portals, payment processors, or shipping carriers, each of which publishes its own privacy terms.
Where we act as a service provider for another business, for example when processing a consignment on behalf of a partner, the terms of that arrangement may add obligations to the ones described here. Where we act as a controller of information about our own customers and visitors, this policy governs. We encourage you to read the privacy notices of any grading company, marketplace, or carrier you use alongside our services.
3. Information We Collect
We collect several categories of information, each tied to a specific purpose rather than gathered for its own sake. The categories are not collected on every visit, and most visitors to this website share nothing at all beyond ordinary server logs.
Contact and identity information
This includes your name, email address, telephone number, mailing address, and in some cases a business name. We collect it when you send a message through our contact form, email the shop, call the counter, request a hold on a card, or arrange a shipment.
Transaction information
This includes purchase history, items bought or sold, amounts paid, payment method type, receipt numbers, and trade-in offer records. We keep these records to run the shop, handle returns, answer questions about past purchases, and prepare financial statements.
Grading and submission records
This includes card counts, declared values, grading tiers selected, intake sheet copies, shipment tracking numbers, and correspondence with grading companies on your behalf. These records are necessary to move a batch of cards through a multi step process without losing track of any item.
Event and case break information
This includes participant names, slot or team assignments, delivery addresses for card shipments, and any special instructions you provide. We keep these records to run a break fairly and to prove the assignment if a question arises later.
Technical information
Our web server may record standard technical data such as browser type, device category, approximate region, referring page, and the date and time of a request. This information helps us keep the site available and diagnose faults. We do not use it to identify individual visitors, and we do not connect it to a customer record.
4. Sources of Information
Most information comes directly from you, either when you fill in a form, send an email, speak with us at the counter, or hand over a collection for valuation. Some information comes from the normal conduct of a transaction, such as a receipt generated by a payment terminal or a tracking number issued by a carrier.
In limited cases we receive information from grading companies, shipping carriers, event venues, or co hosting dealers. This usually consists of status updates, delivery confirmations, or corrections to a contact detail. When a venue provides an attendee list for an event we host, we treat that list as information you shared with the venue and we use it only for the purpose of that event.
We do not purchase contact lists, and we do not obtain information about you from data brokers. Our customer records begin with a direct interaction at the shop or through our own website.
5. How We Use Information
We use personal information to answer inquiries, prepare quotes, process sales, complete trade-ins, manage grading submissions, arrange shipping, run case breaks, plan card shows, and keep accurate business records. Each use is connected to a service you requested or to a legal obligation that applies to a business of our type.
We also use information to improve the way the bench operates. If a customer tells us that a want list reply was confusing, we may revise the format of future replies. If many customers ask the same question about grading tiers, we may add a note to the intake sheet. This internal improvement work uses ordinary business records rather than analytics profiles, and it does not involve sharing your details with advertisers.
Finally, we use contact details to reply to questions and, when you have agreed, to send occasional updates about shop hours, grading intake days, case breaks, and card shows. You can stop these updates at any time using the instructions in the marketing section below.
6. Legal Bases for Processing
For visitors and customers in regions with comprehensive privacy laws, we rely on several legal bases. Where processing is necessary to perform a contract, such as completing a sale or a grading submission, that necessity is the basis. Where processing is required to comply with tax, accounting, consumer protection, or record keeping rules, legal obligation is the basis.
Where we rely on legitimate interests, the interest is the ordinary operation of a retail business: preventing fraud, securing shipments, resolving disputes, and maintaining accurate inventory. We balance that interest against the reasonable expectations of customers, and we do not use it to support intrusive profiling or advertising.
Where consent is the basis, for example an optional newsletter sign up, you can withdraw consent at any time without affecting the lawfulness of earlier processing. Withdrawal is as easy as the original decision, and we do not require a reason.
7. Orders, Payments, and Shipping
When you buy cards from the shop, we record the items, the price, the date, and the payment method type. Card payments are handled by a payment processor that receives the card details directly through a secure terminal or payment page. We do not write full card numbers on receipts, and we do not store card security codes in our records.
For shipments we collect the delivery name and address, and we share those details with a carrier. Tracking numbers are stored with the order record so that we can help if a package is delayed or arrives damaged. If a package is lost, we will work with you and the carrier to pursue a claim, and we may need photos of the packaging and the cards involved.
Returned purchases are handled under the return terms printed on the receipt. To process a return we need the original receipt, the returned item, and the contact details associated with the order. Refunds are issued through the original payment method whenever possible.
8. Grading Submissions and Consignments
Grading submissions involve a chain of custody that must be documented. At intake we record your name, contact details, the number of cards, a description of each card sufficient to identify it, declared values, and the grading tier you selected. You receive a copy of the intake sheet, and the batch receives an internal reference number.
We share the necessary submission details with the grading company, including declared values and service level. The grading company then becomes responsible for the cards under its own privacy and insurance terms. Shipping carriers receive address and declared value information for transit and insurance purposes. We do not use grading submission details for marketing, and we do not disclose a submission to another customer.
Consignment arrangements may require additional information such as a signed agreement, bank details for settlement, and photographs of the items. Consignment records are kept separately from ordinary retail records and are protected by the same security measures described later in this policy.
9. Card Shows and Events
When you register for an event, reserve a dealer table, or ask to be notified about a future show, we collect the contact details needed to confirm the arrangement. Dealer registrations may also include a business name, a description of the product mix, and a request for power or extra table space.
At events we may take photographs or short videos of the hall, the tables, and the crowd. These images are used to document the event and to share general information about future shows. If you would prefer not to appear in a published image, tell a staff member at the event and we will avoid using a photograph in which you are the main subject. We do not publish close up images of individuals without their agreement.
Venue staff may need attendee counts and table assignments for safety and capacity planning. We share only the details necessary for the venue to run a safe event, and we do not hand over contact lists for unrelated marketing.
10. Case Breaks and Live Sales
Case break participants provide a name, a contact address, a delivery address, and the slots or teams they purchased. We publish the assignment of slots and teams so the break can be verified, but we publish only the display name or handle you provide, never your email address, telephone number, or postal address.
Recordings of a live break may be kept for a limited period to resolve disputes about what was pulled and which participant received it. These recordings may include participant display names, the host commentary, and the cards opened. We do not sell recordings to third parties, and we do not republish them as promotional material without telling participants first.
If a break must be rescheduled or cancelled, we contact each participant using the details supplied at purchase and arrange either a new date, a substitute product of equal value with your agreement, or a refund under the terms published for that break.
13. How Long We Keep Information
Retention periods are set by the purpose of the record and by legal requirements. Ordinary contact inquiries are kept for a reasonable period so that a follow up conversation can continue, and then removed when they are no longer needed. Sales and trade-in records are kept for the period required by tax and accounting rules, which is typically several years.
Grading submission records are kept long enough to resolve a claim, verify a return, or answer a question about a slab that we handled. Case break records and recordings are kept for a shorter period, long enough to resolve assignment disputes and complete shipping, and are then deleted on a schedule.
When a retention period ends, we delete or de identify the information. If deletion is not immediately possible because a record is part of a backup set, the record is isolated from active use and removed when the backup cycle completes. We do not keep information indefinitely simply because storage is inexpensive.
14. How We Protect Information
We use administrative, technical, and physical safeguards that are appropriate for a small retail business handling modest volumes of personal information. Access to customer records is limited to staff who need it to do their work. Devices used for shop records are protected by passwords and current software, and paper intake sheets are stored in a locked cabinet when not in use.
Card payments are processed through systems designed for payment card handling, and we do not retain sensitive payment credentials. Email and website connections use encryption in transit where the provider supports it. Staff are instructed to verify unusual payment or shipping requests before acting, because social engineering remains the most common threat to a small business.
No system is perfectly secure. If we become aware of a breach that affects personal information, we will investigate promptly, take steps to contain the incident, and notify affected individuals and relevant authorities as required by applicable law. We will describe what happened in plain language rather than hiding behind technical terms.
15. Your Privacy Rights
Depending on where you live, you may have the right to request access to the personal information we hold about you, to request correction of inaccurate details, to request deletion of information that we are not required to keep, to object to certain processing, or to request a portable copy of information you provided. You may also have the right to withdraw consent where consent is the basis for processing.
To make a request, contact us at orders@cardfather.mom or call +19803429259. Please describe the request clearly and tell us how we can verify that you are the person the information relates to. We may ask for a receipt number or an intake reference so that we can locate the right record without disclosing information about someone else.
We will respond within the period required by applicable law. If we cannot fulfil a request, for example because a record must be retained for tax purposes, we will explain the reason and tell you what we can do instead. We will not charge a fee for a reasonable request, and we will not treat a privacy request as a reason to deny service.
16. Privacy for Children
Our website and services are intended for adults and for families shopping together. We do not knowingly collect personal information from children under the age of thirteen through this website. A child who wants to buy cards or join an event should do so with a parent or guardian, who can provide the contact details needed for a transaction.
If you believe that a child has provided personal information to us without appropriate involvement from a parent or guardian, contact us at orders@cardfather.mom and we will review the record and delete it where appropriate. If a transaction involves a minor, we may require a parent or guardian to complete the purchase or the trade in person.
17. California Privacy Notice
Residents of California have specific rights under state privacy law. In the preceding twelve months we may have collected identifiers such as name and contact details, commercial information such as purchase history, and internet activity information such as server logs. We collect these categories for the purposes described in this policy and disclose them only to service providers as described in the sharing section.
We do not sell personal information and we do not share it for cross context behavioural advertising. California residents may request to know the categories and specific pieces of information we have collected, request deletion, request correction, and request to opt out of sale or sharing, although in our case there is no sale or sharing to opt out of. You may use an authorised agent to make a request, subject to verification.
We will not discriminate against you for exercising a privacy right. Exercising a right will not change the price of a card, the quality of service at the counter, or your ability to join a case break or event. To make a request, contact us using the details in the final section of this policy.
18. Marketing and Communications
We send service messages when they are necessary to complete a transaction, such as an order confirmation, a grading status update, a break schedule, or a shipment notice. These messages are part of the service and are not marketing, so they are sent regardless of marketing preferences.
Marketing messages about shop news, new stock, shows, and promotions are sent only when you have asked to receive them. Every marketing message includes a way to stop future messages, and a request to stop is honoured promptly. You can also ask us to update the channels we use, for example by keeping an email address on file for receipts but not for announcements.
We do not add customers to a marketing list because they made a purchase, asked a question, or joined a case break. Those interactions create service records, not consent to promotional contact.
19. Third Party Links and Services
Our pages may link to grading company websites, carrier tracking pages, event venues, or supplier catalogues. Those sites are operated by other organisations and have their own privacy practices. We do not control their content or their information handling, and a link from our site is not an endorsement of their privacy terms.
If you follow a link to a third party site and share information there, that information is governed by the privacy notice of that site. We encourage you to read those notices before providing details, especially where a site asks for payment information or identity documents.
20. Changes to This Policy
We review this policy when our services change, when we adopt a new tool that handles personal information, or when the law requires an update. When a change is material, we will update the effective date and describe the change in a short note at the top of the page so that returning visitors can see what moved.
If a change significantly expands how we use information already collected, we will contact affected customers where we have a valid contact detail and, where required, ask for fresh agreement before applying the new use. Continuing to use the website after a non material update means you accept the revised policy.
